Nine out of ten sellers lose margin not on the product itself, but at the stages between ‘found it on 1688’ and ‘the product is on a Wildberries shelf.’ Defects, undocumented goods, incorrect cost calculations, cash-flow gaps, and missed delivery deadlines all have systematic solutions. Let us go through them step by step.
Step 1. Calculate First — Then Look for a Product
The costliest mistake at the outset is choosing a product before doing the math. The correct order is the reverse.
Unit Economics: What the True Cost of Goods from China Includes
‘Purchase price plus shipping’ is not the full cost. The true cost of a product includes:
- customs duty — 0% to 20% of the product's customs value, depending on its HS code (the rate may be higher for certain categories)
- import VAT — 22% for most goods; 10% for reduced-rate categories such as food, children's goods, and medical devices
- Chestny ZNAK labeling — if the product category is covered by the system
- certification or declaration of conformity
- fulfillment, packaging, and labeling to meet the marketplace's requirements
- marketplace commission — 5% to 20%, depending on the category
- advertising — 10% to 30% of revenue at launch
- the defect and return rate
As a rule of thumb, the final markup over the full cost should be at least 100–150%. Otherwise, advertising costs will consume your profit before you can scale.
BoxCargo specialists will help calculate the product's full cost, including every expense from customs payments to fulfillment.
Step 2. Where to Find a Supplier and How to Vet It
Three main sources:
1688.com — China's leading wholesale marketplace. It offers the lowest prices and direct access to factories. The downside is that it is available only in Chinese, and not every supplier accepts transfers from Russia.
Alibaba — the international platform with an English interface and buyer protection through Trade Assurance. Prices are higher, but communication is easier.
Direct factory sourcing — the best price and an opportunity to manufacture under your own brand (OEM/ODM). Suitable for volumes of at least one container per month.
Before making the first payment, check:
- the company's registration documents and export license
- the actual production address, not the office address
- the factory's track record on the platform, with at least 50 genuine transactions
- a test sample before placing a bulk order
- a photo and video report from the factory or warehouse
BoxCargo handles supplier vetting: its local trade-agent team inspects factories in Beijing, Guangzhou, Shanghai, and Yiwu, requests samples, and provides photo and video reports.
Step 3. How to Pay a Supplier in China
In 2026, most Chinese suppliers do not accept direct transfers from Russia: Chinese banks routinely return ruble and yuan payments because of stricter compliance checks. According to statistics, 98% of such transfers fail to reach the recipient and may remain in limbo for up to two months.
How the Payment Issue Is Resolved
BoxCargo pays the supplier through its trading house, a Chinese company with an account at VTB Shanghai. The process is fully compliant: cashless payment and the actual manufacturer named in the customs declaration.
Under your contract — you remain the importer in Russia, clear the goods through customs yourself, and pay VAT.
Under BoxCargo's contract — the company imports the goods, clears customs, and assumes responsibility for all taxes.
Step 4. Fully Compliant Marketplace Shipping: No Longer Optional in 2026
For a number of categories, Wildberries and Ozon require a customs declaration and a declaration of conformity. Without these documents, the goods will either be rejected at intake or removed from sale.
Three Fully Compliant Shipping Routes
| Route | Transit Time | Best Used For |
|---|---|---|
| Truck | 18–25 days | Most categories; best-value option |
| Sea | 45–60 days | Large, non-urgent shipments |
| Air | 5–10 days | Urgent orders or high-margin goods |
BoxCargo arranges shipping on all three routes. Its own consolidation warehouses in four Chinese cities make it possible to assemble cargo, inspect its quality, and ship it as a single LTL or FTL load.
Step 5. Chestny ZNAK Labeling and Marketplace Documentation
Chestny ZNAK labeling is mandatory for clothing, footwear, bed linen, perfume, dairy products, bicycles, and a number of other product categories.
Box dimensions, barcodes, and labels must match the chosen marketplace's specifications exactly. A single labeling error can cause rejection at intake and a loss of 10–14 days.
BoxCargo's team handles the entire labeling cycle: applying Chestny ZNAK codes and preparing labels and packaging to Wildberries and Ozon standards.
Step 6. Fulfillment: How to Shorten the Product's Journey to the Shelf
A typical product journey: China → Russian customs → your warehouse → fulfillment → Wildberries/Ozon.
A shorter route: China → warehouse in Yiwu → shipping → fulfillment in St. Petersburg → Wildberries/Ozon.
BoxCargo provides end-to-end fulfillment: warehouse intake, quality inspection, labeling, packaging to marketplace requirements, and delivery to Wildberries and Ozon warehouses.
Step 7. How to Avoid Going Out of Stock and Missing the Season
Going out of stock is a failure in the purchasing cycle with a tangible marketplace cost: the Wildberries and Ozon algorithms lower a listing's ranking when there is no inventory.
Three Reasons
Businesses calculate the lead time ‘from the supplier,’ not ‘from payment to the shelf.’ Fully compliant sea shipping takes 45–70 days, plus 10–14 days for intake: about three months in total.
They do not allow a buffer for the seasonal peak. Demand may grow two to three times faster than forecast.
Shipments bunch together during regular deliveries. It is important to fine-tune the interval between orders.
BoxCargo logistics specialists will help build a regular delivery schedule that accounts for seasonality and customs-clearance times, so you never go out of stock.
